Using People Import

Use People Import to quickly import different types of people.
 

File Formats

  • XLSX Excel
  • XLS (Excel 97-2003)
  • CSV (comma delimited)
  • TXT (tab delimited) file.  

(We recommend using Excel). You can also copy and paste directly from a table, such as a saved Google Spreadsheet. 


There are three types of people imports that can be made: Players, Coaches/Staff and Other Groups (expand the help below for more details)

 

New imports are added to your existing data. This means you can split up your import into multiple smaller groups, or split up your people by adding some manually and importing others.

 

Players

Use the column headings similar to these to organize your Roster spreadsheet (it is not necessary to use all of these columns):

Birth Date must use one of these formats: M/D/Y, D/M/Y, DD/MM/YY)
State must use 2-letter abbreviation!)
Import will only accept the first 20 columns of information. If you have more than 20, split your data up and import in groups.

 

Coaches/Staff

Use the column headings similar to these to organize your Coaches/Staff spreadsheet:

 

Phone | Emergency Phone | Name | Email | Title | Staff Type | Mobile Number (Texting)

 

Other Groups

You can import other groups as well. This is generally used to import Mailing Lists.

Use column heading similar to these to organize your Mailing List spreadsheet:

 

Team | Name | Mobile | Email | Category

 

Step-By-Step Import Process
 
  1. Begin by checking the circle for the type of people import you wish to do and click I'm Ready. Let's GO!
     
  2. Copy your information from your Excel spreadsheet and paste it into the Paste your data below field. Click Submit Pasted Text. 
    - Don't worry how the data looks at this point, click Submit and see what happens.
     
  3. Review the information in the Match Your Columns field and then scroll down to the DATA PREVIEW section. Use the drop-down menus to match the information in any red or gray columns with the options in the drop-down. 
    - If there is not a selection that makes sense for your data, select Not Used. This column will be ignored by the system. 
    - If you see errors (pink cells) we recommend going back to your spreadsheet to resolve these errors and then starting the import process over 
     
  4. Once you've selected an option from the drop-downs for any red or gray columns (or if you do not have to match any data), click Continue.
     
  5. Multi-Team sites may have to validate which team each person belongs to.
     
  6. Click Import Data to complete the process.

Keep in mind that there can be many variables involved with importing data based on the spreadsheet created, the information being imported, and the structure of your organization.  Contact  HTO Support for further assistance.

 

File Format / Preparing Your File

The import feature is compatible with the following formats:

  • XLSX (Excel),
  • XLS (Excel 97-2003),
  • CSV (comma delimited),
  • TXT (tab delimited)

Preparing your file:

Remove all extraneous text from the import file:

  • The first row must be the column headers (labels).
  • The following rows must only contain the data you wish to import.

Tip: If you are importing an excel workbook, only the first tab will be imported

 

Common Errors / Browser Errors

As you step through the import process, you will not be able to continue to the next step if there is an error. Not all errors prevent you from importing. You may be able to skip rows that contain errors, but make sure the data you are skipping is not needed - otherwise re-start the process after editing your file and fixing the items that cannot be imported.

Note that for security reasons there are limits to the amount of data that can be imported. If you attempt to import a large number of people and receive a "data limit exceeded" error, try splitting the information into multiple imports.

Quotation marks " " are not supported and may result in an error.

Web Browsers

For best results use the most recent update of your browser software (check for updates).
- Firefox works well with the import feature.
- If you are using Internet Explorer, do NOT activate "compatibility mode" (the broken page icon in the address area should NOT be shaded dark blue). Larger files, slow connections, and older browser versions can cause import issues. If your browser does not respond for longer than a minute or two, first reset your browser and check your Internet connection, and try again; if the problem persists contact support for further troubleshooting.
