Creating a Schedule

You can create a schedule for the teams that are already in your structure, specific divisions of teams in your structure, or even create a schedule for teams that are not a part of your structure.

Go to Schedules > Setup Teams to check your current structure before starting.

 

teams tab
Choose which teams you'd like to create a schedule for:
  • the teams that are a part of my structure: check the use active box
  • only teams that are in a specific division of my structure: check the use active box & use the pick division dropdown
  • teams that are not a part of my structure: check the new teams box
  • a combination: for example, the teams in your league play two teams who are from a different town & you want to include them in the schedule. Check use active and new teams. Then manually enter the names of the two teams*

*The teams who are not a part of your structure will automatically be listed as "Inactive" & will not have access to some HTO features

 

locations tab
Chose to skip or specify where games will be played:
  • location not specified or using home: there aren't specific locations or we always play at home
  • use specific locations: choose to use locations that have already been added under Schedules > Locations &/or manually enter locations.
time tab
  • enter the start date & choose to enter an end date or enter a specific number of matchups for each of the teams
  • enter the number of time-slots that are available each day
  • click to choose the days of the week that these times are available
  • set the specific times on each of the days
review tab
Review the schedule that has been created & choose what to do next:
  • Start Import: quickly import this schedule to your HTO website. Teams that are not a part of your active structure will automatically be added to an Inactive Teams division.
  • reset: clear this schedule start over to change your settings
  • reshuffle: click to rearrange the displayed matches
  • download: download the schedule to make tweaks & changes - like moving matches for holidays or to change matchups

If you're ready to publish this schedule on your website, click the START IMPORT button to see a review of what will be added.

The games can be added to your Current Schedule for to An event named [enter the name of the event].

For example, if your organization is hosting a tournament for teams that are not a part of your structure, you would use the An event named option to publish the matchups without adding teams to your structure. Visitors to your website will be able to track the matchups.

If a team is playing against a team that is not a part of your structure, use the opponents not in HQ section

 

Tips & Tricks
  • If you have an odd number of teams, try adding a team called "Bye". Then, download the schedule to adjust the matchups.
  • The mathematics of generating schedules is very complex, so a common trick is to simplify your schedule. For example, you might break up your schedule into two groups, & add a limited third set of single game match-ups (similar to professional sports conferences). You also might remove the restrictions on playing fields on a large schedule and add those later.
