Send a Message

You can use the HTO Message Center feature to quickly communicate with people on your site. 

OVERVIEW - DYNAMIC GROUP MESSAGING!

The Message Center lets you send quick updates to people in your organization. It is designed to meet the needs of sports organizations. 

 • Select groups like players, coaches, web admins.
 • Groups are dynamic and will always have the current list of members.
 • Type in a new email or mobile number to add a person . 
 • No text number, no problem. If no text is available the email will be used as a backup. 

 • The unique features allow you to send to groups without revealing members' personal data.

 • You can also attach a link to your website, such as a scheduled event, new article, etc.

 

The message center is for broadcasting messages to groups of people. Replies will be sent to the site's Primary Contact email address. (See the Coaches & Staff feature for more about assigning Primary Contact)

 

You can also switch to "email" mode, allowing you to compose a full email using simple tools. The selection of groups and recipients uses the same dynamic features, however it will send only to email addresses.  

 

HOW TO SEND A MESSAGE

Type a short message and click send!

The system will automatically send an email and a text to the recipient. 

 

WHO CAN SEND A MESSAGE?

This feature is available to Webmasters and Team Admins who have access to the Message Center.

 

WHO CAN RECEIVE A MESSAGE?

A valid email or mobile text number must be provided. For mobile text numbers, we subscribe to a provider lookup service to get the most recent provider data. If there is an issue attempting to send a text, we will attempt to reset the provider for you. In rare cases where the provider cannot be determined, the provider can be manually entered into the person's contact information to ensure they can receive the message.   

 

WHAT IS THE MESSAGE FORMAT?

Use the buttons at the top of the page to let the tool know if you'd like to send a text or an email.

 

Messages are sent to people with a valid text or email entered on your site.

In text mode, the email is used as a backup if a mobile text number is not available. (click the Options tab if you don't want to use email backup)

In email mode, the email format is only sent to the recipients email. 

 

Reminder: Texts have no subject line, so for the backup email a basic subject line is added as follows: "Message from <Admin Sending>(<Team>):". 

 

THE LINK BUTTON

Use the link button to place a link to any page on your site. This is a convenient way to link anywhere on your site, but you can also paste a URL directly into the message. Any properly formatted URL should be a clickable link in any email or text received.

 

SOME RECIPIENTS SAID THEY DID NOT RECEIVE MY MESSAGE

Sending a message involves several steps. Messages are sent from our OUTGOING mail server. (Note if you send too many recipients it is placed in a queue and it may take several minutes to send them all). However, the message must next go through the recipients INCOMING mail server, based on the provider they use. Finally it is delivered to the recipient. However, it must pass through any spam filters before it reaches their inbox. 

We monitor most of these steps, including the incoming server's "reply".  If the recipients use spam blocking or auto-delete tools it is unknown. This is why you often are told to "check your spam folder" for a confirmation or receipt that you are supposed to get. You will want to verify with your main staff that they are receiving their messages. In some cases, where you are messaging a larger group, it is important to be aware that no message system can ever guarantee 100% of the recipients will view the message. 

For MOBILE TEXTS, if no service provider is entered we default based on the phone number. Since many users change providers over time, the mobile provider should be entered in the person's contact information to ensure they receive the message. 

 

MESSAGE LIMITS

You may be alerted if you are sending more than the maximum amount of messages.  

 

RECIPIENT OPT OUT 

Recipients can opt out of receiving your messages.

 

If a recipient notifies your organization of their wish to opt out, be sure to remove their phone number/email address from your lists.

 

Some organizations choose to include communication notification info in their bylaws since signing up to play a sport will require the organization communicating with Players.

 

Be sure your use of the Text feature complies with Federal, State, Regional and Local laws.  

 

Recent Messages Button

View all the messages you have recently sent.
- Click any message to copy the text and place it into your current message.

- Click Message History to view a more detailed list of all sent messages. 

 

Save your List

Save Current List Button
Save the current list of recipients added in the "to:" box in Message Center. Saved Lists can be re-used and are saved in the OTHER CONTACTS box on the People Overview Page.

 

After sending your message to a list, the system will prompt you to save your list.
