Board Positions Descriptions

President: Preside at all meetings of members of the Booster Club. Compose the agenda for all monthly meetings. Recruitment/selection of chair persons & committees and supervise the functions of committees. Issue reminder for monthly meetings (via Secretary, PVHS automated phone system, email). See that elections are held in accordance with the bylaws. Oversee maintenance and compliance of bylaws. Shall appoint any temporary committees as he/she deems necessary to carry out the objectives of the Club. Liaison with school officials and Athletic Director.

 

Vice President: Act as an aide to the President. Act as President in the absence of that officer. Recruitment/selection of chair persons & committees and supervise the functions of committees. Advise, support and communicate with all the standing committees. Oversee maintenance and compliance of bylaws. Handle contract administration for concession stand use and forward signed contract to Secretary.

 

Secretary: Record the minutes of all meetings and distribute minutes via email to members shortly after meeting. Keep attendance at all meetings. Keep a log of approved decisions with agenda attached. Notify all members of meetings. Oversee maintenance & compliance of bylaws. Conduct all correspondence for the Booster Club under the direction of the President President.

 

Treasurer: Manages club bank account and keeps accurate, up to date financial records.  Establishes and maintains club procedure for requesting and approving the use of club funds.  Makes payments in accordance with club procedures and deposits all funds club earns or receives.  Gives a report of the club’s financial status at every meeting.  Completes the Annual Summary Financial Report at the end of the club year

 

Fundraising/Sponsorship: Manage promotions to fund the PVHS Basketball Booster Club program primarily through corporate and individual sponsorship programs. Responsibilities include advertising sales for banners, programs and website sponsors as well as oversight of the publication of a program guide. Will solicit businesses to generate interest in the Basketball Club sponsorship programs. Works closely with the Treasurer to ensure funds are being collected. Maintains an ongoing record of sponsors/advertisers. Solicits bids from printing companies for the production of the Basketball Program and printing of vinyl banners for new sponsors. May have committee members assisting where needed to ensure print deadlines are met.

 

Concessions: Manage the Concessions operation during the season and during special events occurring pre/post season. Responsible for the procurement of products and inventory management to ensure food items are fresh and properly stored in accordance with Health Department guidelines. Responsible for setup and breakdown of Concessions for all home games. Monitors inventory levels to ensure adequate stocking for future events. Promptly delivers all monies received to the Treasurer for deposit into the Booster Club bank account.

 

Merchandise: Secures vendors both locally and online, requests bids for pricing for all apparel and non-apparel items and submits recommendations to the Board for approval. Orders products and follows up as necessary to ensure timely delivery. Maintains an ongoing account of descriptions, quantities, and costs of all items ordered. Upon receipt of items, checks quality and quantity of items received and submits to the Treasurer to pay invoice. Works with Concessions & possibly creates & staffs a merchandise table is during Freshman, JV and Varsity home games. Promptly delivers all monies received to the Treasurer for deposit into the Booster Club bank account. Coordinates delivery of product from online ordering. Upon completion of the basketball season, secures all remaining products, compiles a listing of all unsold products and provides a recommendation to the Board for retaining/disposing of such items.

 

Special Events: Coordination and management of special events throughout the year including researching venue and menu options for the Hospitality Room during the Thanksgiving Tournament and submitting proposals to the club for review and approval. In charge of coordination for senior night recognition, homecoming activities, volunteer appreciation event, car wash etc. Assists Team Liaison with planning of end of the year banquet if needed.

 

Internal Community Relations: Focuses on building relationships with new and current family members within the Trojan Basketball community. This individual will spend time meeting and networking with parents and family members of our athletes to promote and publicize the Booster Club to encourage participation, attendance and support.
