Tâches et fonctions / Duties & Responsibilities
President
- The President is a voting member of the executive.
- The President shall be the Chairperson of the Executive Committee and preside at all meetings of the "CLUB".
- The President will represent the "CLUB" at all social and official functions or arrange for a delegate to represent him.
- The President will set objectives for the various operating elements and to develop long range proposals for the "Club".
- The President is to ensure the effective coordination of all activities of the Club.
- The President is to act as a signing officer for the disbursement of the funds.
- The President is authorized to form special committees and to define the objectives and responsibilities of those committees, also to act as an ex-officio member of all committees.
V.P. Administration & finances
- Le vice-président, administration et finances, est un membre à part entière, ayant droit de vote au sein du bureau de direction.
- En l’absence ou lorsque le président n’est pas disponible, le vice-président, administration et finances,< le remplacera dans ses fonctions et aura les pouvoirs du président..
- Le vice-président, administration et finances, aura le pouvoir de recruter et de nommer les sous-comités et les membres pour l’aider dans ses responsabilités. Ces responsabilités incluront, mais ne sont pas limités à: superviser les activités de levées de fonds, les activités des concessions, ou tout événement de levée de fonds ou autres fonctions selon l’approbation du bureau de direction.
- Le vice-président, administration et finances, devra coordonner les événements tels que les photos d’équipes et individuelles, les cérémonies de fin de saison et tous les événements ou fonctions additionnels que le bureau de direction demandera.
- CONSERVATION DES DOSSIERS- le vice-président, administration et finances, a la responsabilité de conserver les dossiers de toutes les dépenses et des reçus du « CLUB » de concert avec le président.
- REVENUS PAR CATÉGORIE- le vice-président, administration et finances, est responsable du maintien d’un journal relatant les dépôts et les dépenses afin de s’assurer que les deux sont catégories sont classés séparément.
- RAPPORT FINANCIER- le vice-président, administration et finances, devra présenter un rapport financier détaillé au bureau de direction à chaque mois et à l’assemblée générale des membres, ou lorsque le président le demande. (Ce rapport inclura: le solde au début, le solde à la fin, les fonds déboursés, les montants d’argent dus au « CLUB » et les factures en suspens à être payé au « CLUB ».)
- SIGNATURES DES CHÈQUES- vous référer à la Section II, Article I, ligne 6 des règlements.
- ACCÈS AUX ÉTATS FINANCIERS- le vice-président, administration et finances, doit donner accès, sur demande du président, à tous l’information financière et, ce, dans les quarante-huit ( 48 ) heures suivant.
V.P. Administration & Finance
- The V.P. Administration & Finance is a voting member of the executive.
- In the absence or the unavailability of the President the V.P. Administration & Finance shall perform the duties of and exercise the powers of the President.
- The V.P. shall have the power to recruit and appoint sub-committees and their members to assist in his/her responsibilities. These responsibilities shall include, but are not limited to: Overseeing fundraising activities such concessions or any other fundraising events or functions subject to Executive Committee approval.
- The V.P. shall Coordinating events such as Team and Individual pictures, End of the year ceremonies, and other special events or functions as determined by the Executive Committee.
- RECORDS MAINTENANCE- the V.P. is required to keep and maintain records of all expenses, expenditures and receipts of the “CLUB” in conjunction with the President.
- REVENUE CATAGORIZATION- the V.P. is required to maintain a deposit log and expense log to ensure that both are properly categorized.
- FINIANCIAL REPORT- the V.P. is required to present a detailed financial report to the Executive Committee each month and at the Members meetings or as the President requests. (This report shall include: Beginning balance, Ending balance, Monies paid out, Monies owed to the “CLUB”, outstanding invoices due to be paid out by the “CLUB”.)
- CHECK SIGNATURES- as per Section II, Article I, Line 6 of the bylaws
- ACCESS TO FINANCIALS- the V.P. is required to provide access to all financial records of the “CLUB” upon request by the President within forty-eight (48) hours.
V.P. opérations
- Le vice-président, opérations, est un membre à part entière, i.e. ayant le droit de vote au sein du bureau de direction.
- Le vice-président, opérations, doit être le représentant official à tous les niveaux de la ligue.
- Le vice-président, opérations, s’assurera que la sécurité a préséance sur l’esthétique pour les uniformes et l’équipement.
- Le vice-président, opérations, doit soumettre au bureau de direction pour approbation, une liste de l’équipement nécessaire à acheter au cours de l’année.
- Le vice-président, opérations, doit gérer l’équipement du « CLUB », et, s’il le juge à propos, peut nommer un coordonnateur pour l’équipement.
- Le vice-président, opérations, doit mettre en place un comité de sélection pour nommer des entraîneurs-chefs qui se rapporteront à lui. Les entraîneurs-chefs nommeront des entraîneurs adjoints avec son assentiment .
- Le vice-président, opérations, a le pouvoir de discipliner et/ou de congédier tous les entraîneurs-chefs et les entraîneurs adjoints de football.
- Le vice-président, opérations, doit aviser les gérants d’équipes de la date butoir décrété par la ligue à laquelle tous les enregistrements doivent être soumis.
- Conjointement avec le gérant des équipes, le vice-président, opérations, fera respecter les règlements se rapportant à la conduite des parents, des entraîneurs et des joueurs lors de parties, de pratiques ou de toute activité où les joueurs représentent le « CLUB ».
V.P. Football Operations
- The V.P is a voting member of the executive.
- The V.P is required to act as the official representative at all the league levels.
- The V.P. will insure safety supersedes aesthetics of equipment or uniforms.
- The V.P. is required to summit a list of equipment requirements for the upcoming year to the Executive Committee for purchase approval.
- The V.P. is required to administer the “Clubs” football equipment and at his/her discretion can appoint an Equipment Coordinator.
- The V.P. is required to form a selection Committee to appoint Head Coaches who shall serve under his/her guidance. Head coaches will appoint their own assistant coaches with the approval of the V.P.
- The V.P. retains the privilege to discipline and/or remove all head and assistant football coaches.
- The V.P. is required to notify the team managers of the deadline set by the League for all registration paperwork to be submitted.
- In conjunction with the team manager, the V.P. will enforce rules and regulations pertaining to the conduct of Parents, Coaches and Players at games, practices or any activity where the players are representing the “CLUB”.
V.P. Football Operations U-14
- The V.P is a voting member of the executive.
- The V.P is required to act as the official representative at all the league levels.

- The V.P. will help in fundraising and other special events requiring parents, children and volunteers from the U-14 teams under his supervision.
V.P. Manager U-14
- The V.P is a voting member of the executive.
- The V.P is required to act as the official representative at all the league levels.
- To ensure the availability of required equipment and supplies at all football activities.
- To supervise the activities of all field personnel associated with the teams' program.
- To train and support all current and new managers and assistant, new managers.
- To work in conjunction with the V.P. administration & Finance to collect monies from players and Parents in relation to both football and support activities.
- To recruit parent support in form of committees (field, food, parent communications, volunteers)
- In conjunction with the Head Coach and the V.P. Football Operations / V.P. Cheerleaders enforce rules and regulations pertaining to the conduct of Parents, Coaches and Players at games, practices or any activity where the players are representing the "CLUB".
- The V.P manager position is the second point of parent escalation in the event of issues and complains.
- Team managers are to contact Parents via e-mail to inform them of meeting dates.
V.P. Canteen and Merchandising
- The V.P is a voting member of the executive
- The V.P. shall have the power to recruit and appoint volunteers to assist in his/her responsibilities. These responsibilities shall include, but are not limited to: Overseeing the functioning and profitability of the Canteen and other fundraising activities such concessions or any other fundraising events or functions subject to Executive Committee approval.
- The V.P. shall Coordinating events such as Canada day concession, and participate in End of the year ceremonies that may require food or beverages or merchandising as well as other special events or functions as determined by the Executive Committee.
- RECORDS MAINTENANCE- the V.P. is required to keep and maintain records of all expenses, expenditures and receipts of the "CLUB" in conjunction with the V.P. Administration or President.

V.P. Meneuses de claque
- Le vice-président, meneuses de claque, est un membre à part entière, i.e. ayant le droit de vote au bureau de direction.
- Conjointement avec les gérants des équipes, le vice-président, meneuses de claque, est responsable de coordonner les efforts et les activités des meneuses de claque et de leurs entraîneurs respectifs.
- Conjointement avec les gérants d’équipes, le vice-président, meneuses de claque, fera respecter les règlements se rapportant à la conduite des parents, des entraîneurs et des meneuses de claque lors de parties, pratiques, ou toute autre activité où les meneuses de claque sont les représentantes du « CLUB ».
- Le vice-président, meneuses de claque, doit soumettre, au bureau de direction pour approbation, une liste de ce dont il a besoin pour l’année courante.
- Le vice-président, meneuses de claque, doit nommer les entraîneurs-chefs, qui seront sous sa responsabilité. Les entraîneurs-chefs nommeront leurs adjoints avec l’approbation du vice-président, meneuses de claque.
- Le vice-président, meneuses de claque, a le pouvoir de discipliner et/ou de congédier tous les entraîneurs-chefs ou les adjoints.
- Le vice-président, meneuses de claque, doit aviser les gérants des équipes de la date butoir décrétée par le « CLUB », à laquelle tous les enregistrements doivent être soumis.
- Le vice-président, meneuses de claque, doit maintenir l’inventaire et l’équipement des meneuses de claque.
V.P. Cheerleading
- The V.P is a voting member of the executive.
- In conjunction with the team managers, the V.P. is responsible for coordinating efforts and activities of the cheerleaders, and their respective coaches.
- In conjunction with the team manager, the V.P. will enforce rules and regulations pertaining to the conduct of Parents, Coaches and Cheerleaders at games, practices or any activity where the cheerleaders are representing the “CLUB”.
- The V.P. is required to summit a list of requirements for the upcoming year to the Executive Committee for purchase approval.
- The V.P. is required to appoint Head Coaches who shall serve under his/her guidance. The Head coaches will appoint their own assistant coaches with the approval of the V.P.
- The V.P. retains the privilege to discipline and/or remove all head and assistant coaches.
- The V.P. is required to notify the team managers of the deadline set by the “CLUB” for all registration paperwork to be submitted.
- The V.P. is required to maintain the inventory and accessories for the cheerleaders.
Secrétaire
- Le/la secrétaire est un membre à part entière, i.e. ayant le droit de vote, au bureau de direction.
- Le/la secrétaire doit prendre les notes des procès verbaux de toutes les assemblées, celles du comité de discipline et celles des assemblées générales et les conserver pour le bureau de direction.
- Le/la secrétaire doit remplir les tâches généralement exécutées par un/une secrétaire d’une compagnie ou d’une corporation, en plus des autres fonctions et responsabilités que le bureau de direction peut juger nécessaires.
- Le/la secrétaire doit maintenir et est responsable de tous les procès-verbaux et de retourner tous ces procès-verbaux au président à l’assemblée générale annuelle.
- Le/la secrétaire doit préparer les ordres du jour des assemblées, conjointement avec le président.
Secretary
- The Secretary is a voting member of the executive.
- The Secretary is required to take and keep the minutes of all meetings of the Executive Committee, Discipline Committee and the General Membership meetings.
- The Secretary is required to perform the duties and functions customarily performed by the Secretary of a business or corporation together with such other duties and responsibilities as the Executive Committee may deem necessary.
- The Secretary is required to maintain and have custody of all minutes and to return all minutes to the President at the AGM.
- The Secretary is required to prepare the meeting agendas in consultation with the President.
Ombudsmen
- The Ombudsmen is a NON voting member of the executive
- The Ombudsmen position is to be a neutral person from the community who`s interest is impartial and has no stance or implications in the organization. They are there to question the executives, validate any complaints of misappropriation of funds. They are they to also help resolve issues between executives, volunteers and parents when a solution cannot be reached otherwise. The person must not have any ties to the organization what so ever. They cannot have a child currently in the organization or the league, they cannot have family members or special relationships with anyone on the executive or a volunteer or parents of any child on the team. This is strictly a volunteer position.
- The Ombudsmen shall have the power to request an audit of the current fiscal budget if there is any suspension of inappropriate accounting practices or misappropriation of funds or at the request of at least two executive members. These responsibilities shall include, but are not limited to: Overseeing the functioning and profitability of the association. events or functions subject to Executive Committee approval. It is the responsibility to advise the members of the executive of any suspicions.
- The Ombudsmen will confirm to the executive that all government documents such as tax returns are submitted annually and will have access to communicate with the associations accounting firm.
- The Ombudsmen will receive complaints from the executives, volunteers and parents that have not been resolved to the reasonable satisfaction of the executives or the parents. The Ombudsmen will then suggest alternative solutions and when a clear solution cannot be provided the Ombudsmen’s decision will be final. The decision must be in accordance with this constitution and all league, association and government rules and regulations. Advise for rendering a decision can be obtained by requesting help from sources both internal and external to the organization
